This policy applies to the ShutdownBoard website (https://shutdownboard.com) and the ShutdownBoard apps for iPhone and Android (together, "ShutdownBoard", the "platform", "we", "us" or "our"). It explains what personal information we collect, why we collect it, who we share it with, how long we keep it, and the choices and rights you have.
We wrote this in plain language. If anything is unclear, contact our Privacy Officer (section 2).

Appendix A – How we follow Canada's 10 fair information principles
1. The short version
- ShutdownBoard is a job board and app for industrial trades: shutdowns, turnarounds, FIFO, rotational and project work.
- Workers give us profile information (trades, tickets, certifications, location, availability, resume) so employers can find them and so they can apply for jobs. Employers give us company and job information so workers can find their jobs.
- We use your information to run the platform: to show profiles and job posts, match workers to jobs, carry out in-app messaging, send the notifications you choose, and keep the platform safe.
- We do not sell your personal information. We do not share it for targeted (cross-context behavioural) advertising. We do not run advertising in the app.
- Email addresses and phone numbers are never shown to other users. Only our administrators can see them. Workers and employers talk to each other only through in-app messaging.
- Our platform is hosted by Base44, and your information is stored in the United States (section 9).
- Workers can hide their profile from employer search (section 7).
- You can edit your profile at any time, turn notifications off or unsubscribe, download a copy of your data (Settings → Download my data), and delete your account in the app (Settings → Delete Account), at https://shutdownboard.com/delete-account, or by emailing us (section 15).
- You must be 18 or older to use ShutdownBoard.
2. Who we are and how to contact us
ShutdownBoard is operated by Dan Buckingham, sole proprietor, operating as ShutdownBoard, based in Alberta, Canada.

The Privacy Officer is responsible for our compliance with privacy law. This includes Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's and British Columbia's Personal Information Protection Acts, and Quebec's Act respecting the protection of personal information in the private sector as amended by Law 25. Under Quebec law, the Privacy Officer is also the "person in charge of the protection of personal information".
You can also reach us using the Report Issue button in the app. For privacy requests, please email the Privacy Officer directly so your request is tracked properly.
3. Who this policy applies to
This policy covers:
- Workers (job seekers): tradespeople who create a worker profile, browse jobs, apply, and message employers.
- Employers and recruiters: people who create an employer (company) profile, post jobs, search for workers, and message workers.
- Visitors: anyone who browses shutdownboard.com without an account.
- Business contacts: people at companies we contact about using ShutdownBoard (see section 11.3).
ShutdownBoard is mainly used in western Canada, but it is open to users elsewhere in Canada, in the United States and in Australia. If you are in the US, section 16 also applies to you.
Employers who use ShutdownBoard to hire are responsible, under their own privacy obligations, for how they use worker information once they receive it (for example, after you apply or message them).
4. What we collect
We collect only what we need to run a trades job board. Here is what we collect and where it comes from.

Please don't upload more than you need to. Before you upload a resume or ticket, remove information employers don't need, such as your Social Insurance Number (SIN) or Social Security Number, date of birth, home street address, driver's licence number, or health information. ShutdownBoard never asks for these.
4.2 Information collected automatically

We do not buy personal information from data brokers.
5. How we use your information
We use personal information only for the purposes below, or for purposes a reasonable person would consider appropriate in the circumstances.
- To create and run your account. This includes signing you in, verifying your email, and keeping your worker and employer portals separate.
- To show profiles and job posts to the right people. For example, we show worker profiles to employers and job posts to workers (section 7).
- To match workers and jobs. We suggest workers for a job, and jobs for a worker, based on trades, levels, tickets, location and availability (section 6).
- To carry out applications and messaging. This includes delivering your applications, telling you when their status changes, and delivering in-app messages.
- To send you notifications. In-app notifications, and the emails you choose to receive (section 11).
- To review content before it goes live. Our team reviews job postings, employer profiles and community groups for accuracy and appropriateness, and we verify employers.
- To keep the platform safe. This includes investigating reports, stopping spam, fraud, harassment and misuse, and enforcing our Terms of Use.
- To provide support. We respond to your questions, reports and suggestions.
- To understand and improve the platform. We use aggregate usage information. For example, our admin dashboard shows how many workers are in each trade and region, so we can see where there are hiring gaps.
- To send service announcements. For example, changes to these terms, new features or pricing changes. We only send promotional emails where the law allows (section 11).
- To meet legal obligations. This includes responding to lawful requests, and establishing or defending legal claims.
Consent. When you sign up, we ask you to agree to this policy and our Terms of Use and to confirm that you are 18 or older. By creating an account and completing your profile, you consent to the uses described above. We will ask for your consent again before using your information for a new purpose. You can withdraw consent at any time, subject to legal or contractual limits. But some uses are essential to the service: for example, we can't show employers a worker profile that isn't there. If you withdraw consent for those, you would need to delete your profile or account. Optional uses, such as job alert emails, can be turned off on their own.
We do not use your information to train AI models, and we do not use it to show you ads.
AI training by our hosting provider. Base44, which hosts ShutdownBoard (section 8.1), says in its terms and documentation that it may use data stored in apps built on its platform, including personal information that people enter into those apps, to train its own AI and machine-learning models. Base44 excludes data from this only for workspaces on its Enterprise plan, and it offers no other opt-out, so information you give us may be used by Base44 in this way. Base44's data processing agreement with us says it will use personal data only to provide its services, or once the data has been anonymized or aggregated. If this changes, we will update this policy.
6. Job matching and automated processing
ShutdownBoard ranks and filters automatically:
- Matched Workers: when an employer posts a job, the platform automatically lists workers whose trades, levels, tickets, location/travel radius and availability fit the job. The same logic decides which workers get a new-job email.
- Job search and distance filters: jobs and workers are sorted and filtered by trade, dates and distance.
- Workers who turn on Hide my profile (section 7) are left out of employer search, Matched Workers lists and the available-workers calendar.
These tools only suggest and sort. They do not make decisions about you. No decision to hire you, reject you or remove you is made solely by automated processing. Employers decide whom to contact and hire, and our team reviews content.
If you are in Quebec, you have the right to know what personal information and main factors are used to rank you, and to have your information corrected. The factors are: your trades and levels, safety tickets and certifications, city and travel radius, willingness to fly in/fly out, and availability dates. To see or correct them, edit your profile or contact our Privacy Officer.
7. Who can see your information

Once you share information with another user, for example by applying to a job or sending a message, that user may keep a copy. We cannot control what they do with it after that. We require users to follow our Terms of Use and applicable law.
8. Who we share information with
We do not sell personal information, and we do not share it for targeted advertising.
We share personal information only in these situations.
8.1 Service providers who help us run ShutdownBoard
These companies process information on our behalf, under contract, and only for the services they provide to us.

8.5 With your consent

9. Where your information is stored (outside Canada)
ShutdownBoard is based in Alberta, but your personal information is stored and processed outside Canada, mainly in the United States.
- Base44 states that "all Base44 servers are currently located in the United States" and that data is stored in the US by default. Media files (such as uploaded photos, resumes and ticket documents) stay in the US regardless of any regional setting. - Base44's parent company, Wix.com Ltd., is in Israel. Some of Base44's sub-processors are in other countries, including Germany and the UK (https://base44.com/security; https://base44.com/dpa/exhibitc).
- Our other service providers (section 8.1) may process information in the US, the UK, Estonia and elsewhere in Europe, or other countries.
While your information is in another country, the laws of that country apply to it. Courts, law enforcement and national security authorities there may be able to access it. We use contracts and our providers' security measures to protect it (Base44 says its vendors are bound by data processing agreements). But foreign legal protections may differ from those in Canada.
Quebec residents: before transferring personal information outside Quebec, we assess whether it will be adequately protected, as Quebec law requires.

10. Cookies, local storage and analytics
ShutdownBoard does not use advertising cookies or third-party tracking pixels. It stores a few items in your browser's or app's local storage:

Base44's login screen may set its own essential cookies for sign-in and security.
You can clear these items in your browser or device settings. If you clear the sign-in token, you will be logged out. Because we don't use advertising or cross-site tracking, we don't show a cookie banner. If that changes, we will ask for your consent first where the law requires it.
Global Privacy Control / Do Not Track: we don't sell or share personal information for targeted advertising, so there is nothing for these signals to opt you out of. If that ever changes, we will honour Global Privacy Control signals as an opt-out.
11. Emails and notifications
11.1 Service emails (always on while you have an account)
We send emails you need to use the service: email verification codes, security and account notices, responses to your requests, and important changes to our terms or this policy.
11.2 Notification emails (your choice)
- Job alerts (workers): emails when new jobs matching your trade are posted. Turn this off under Profile → Job Notifications.
- Message emails: an email when you get a new in-app message. Turn this on or off under Settings → Message email notifications or on your profile page.
- In-app notifications for applications, messages and group activity. You can mute any community group.
Every notification email includes our name, our mailing address, and a link to unsubscribe or change your preferences. We process unsubscribe requests right away, and in any case within 10 business days.
11.3 Business outreach to employers
We sometimes email businesses to tell them about ShutdownBoard. We only email business addresses that the business has published (for example, on its website or in a job ad), and only about things relevant to its hiring. Every outreach email identifies us, includes our mailing address, and gives a simple way to unsubscribe. To stop these emails, reply "unsubscribe" or email shutdownboard2026@gmail.com. We keep a do-not-contact list so we don't email you again. We keep a record of where we found each address, as Canada's Anti-Spam Legislation (CASL) requires.
These practices are designed to comply with CASL and the US CAN-SPAM Act.
12. How long we keep information
We keep personal information only as long as we need it for the purposes in this policy, or as long as the law requires. When we no longer need it, we delete it or make it anonymous.

15. Deleting your account
In the app or on the website:
- Sign in.
- Go to Settings (or your profile page) and tap Delete Account.
- Type your email address to confirm, and tap Delete Account.
Without the app: go to https://shutdownboard.com/delete-account for instructions, or email shutdownboard2026@gmail.com from your account email address with the subject "Delete my account". We will confirm your identity and delete your account within 30 days.
What is deleted: your account, worker or employer profile, uploaded photos and documents (including files you attached to messages), job postings, applications, saved jobs and workers, your copy of your conversations, community content, reviews you wrote, and notification settings. Deleted files are removed from our storage and caches within 30 days.
What may be kept: messages you sent to other people, which stay with them but show your name as "Deleted user"; information we must keep by law (for example, breach records or information needed for a legal claim); if your account was banned for abuse, only its email address, to stop it re-registering; copies in backups until they expire (section 12); and anonymous statistics that no longer identify you. Copies another user already has, such as an application you sent to an employer, may be kept by them.
16. Your US state privacy rights
This section applies to residents of US states with comprehensive privacy laws. These include California (CCPA as amended by the CPRA), Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Iowa, Delaware, Nebraska, New Hampshire, New Jersey, Tennessee, Minnesota, Maryland, Indiana, Kentucky and Rhode Island. Some of these laws only apply to businesses above certain size thresholds. Even so, we offer the rights below to all US users.
16.1 Categories of personal information we collect (last 12 months)
